Information on the processing of personal data

Data privacy and confidentiality are fundamental to the activities, programs, and research of HUB Alzheimer Barcelona. This data protection policy establishes how personal data obtained from its members, contacts, and collaborators is processed. This processing may change over time due to legislative or jurisprudential changes, or changes in the criteria established by the Spanish Data Protection Agency and/or the competent authority at any given time. For this reason, HUB Alzheimer Barcelona reserves the right to modify this policy to adapt it to any new legislation or jurisprudence in force at the time of access to the website.

2. Treatment Identification

For what purpose will we process your data, on what legal basis, and for how long?

The Pasqual Maragall Foundation (which manages the activities and programs of the Alzheimer's HUB Barcelona) processes your data in accordance with your collaborative relationship with us. The data we collect is strictly necessary to manage this relationship; it is adequate, relevant, and not excessive, and is limited to what is necessary for the purposes of the processing. To keep your data up to date, we would appreciate it if you would inform us of any changes that may occur.

2.1 HUB Alzheimer Barcelona PhD Fellowships

Communication and management of candidates and participants of the doctoral scholarship program, including associated activities and processes.

2.1.1 Registration and application forms

The personal data that you provide to us through the online platform to submit your proposal, or through other contact channels, such as email fellowships@hubalzheimerbcn.org, Your data will be processed to manage your inquiries and requests, and to send you communications of interest related to the program.

LegitimationThe processing of your data is based on your explicit consent when you provide it and accept this data protection policy.

Storage period: identification and contact data will be kept until their deletion is requested or they are no longer relevant for the purposes of the program.

2.1.2 CV Management

The personal data you send us through your resume will be processed for the following purposes:

  • Participate in the open selection processes for the HUB Alzheimer Barcelona Doctoral Scholarships.
  • Create a file with curriculum information of the candidates and their supervisors.

LegitimationThe legal basis for the processing is your consent, given by voluntarily submitting your CV.

Storage period:

  • For selected candidates and supervisors: CVs will be kept for up to 5 years after project completion, unless otherwise required by the project or funder. Contact information will be retained until its deletion is requested.
  • For those not selected: your CV will be kept for up to one year after the call for applications is resolved. Contact information will be retained for possible future use, unless you request its deletion.

2.1.3 Program Promotion

Some personal data may be used to publish information about the beneficiaries and the projects awarded in local, national or international media, platforms, websites or events, for the purpose of promoting and increasing the visibility of the scholarship program.

Legitimation: the treatment is based on the explicit consent given when accepting the Participation Terms and Conditions.

Storage periodThe data will be kept until its deletion is requested.

2.1.4 Members of the selection committee

The contact details of the committee members will be processed to maintain the necessary communications related to the management, review and evaluation of the submitted applications.

Legitimation: the signing of the responsibility agreement that governs their participation in the committee.

Storage period: contact details will be deleted once the evaluation process is complete and the person is no longer part of the committee, and after the legal retention periods have expired.

2.2 Activities and events of the Alzheimer HUB Barcelona

The personal data you provide to us through the registration forms will be processed for the following purposes:

  • Manage registration, participation and communication related to the activity or event.
  • Create a database for future communications about HUB activities.

If photographs or videos are taken during the event, any speaker will be informed beforehand and asked to sign an authorization for the transfer of image rights.

Storage periodThe data will be kept until its deletion is requested.

3. Who will we share your data with?

The Pasqual Maragall Foundation will only share your personal data with third parties in the following cases:

  • Evaluation: to the members of the selection committee for the HUB Alzheimer Barcelona Scholarships.
  • Promotion of the program and its results, including details of the projects funded in national or international contexts (platforms, websites or other programs).
  • Contracting services related to the organization of events, when necessary to ensure their proper development.
  • Legal obligation

International transfersNo further action is foreseen, except in the cases mentioned. Should any be considered in the future, it will only be carried out with your prior consent.

4. What are your data protection rights and how can you exercise them?

Everyone has the right to access information about the processing of their personal data within an organization. To that end, the Pasqual Maragall Foundation outlines your rights below:

  • Right of access, rectification and deletionInterested parties have the right to access their personal data, and to request the rectification of inaccurate data or, where appropriate, to request its deletion when, among other reasons, the data is no longer necessary for the purposes for which it was collected.
  • Right to restriction of processingIn certain circumstances, you can request the limitation of the processing of your data, in which case it will only be kept for the exercise or defense of claims.
  • Right to object to processingIn certain circumstances and for reasons related to your particular situation, you may object to the processing of your data. The Foundation will cease processing them, except for compelling legitimate grounds, or for the exercise or defense of potential claims.
  • Right to data portabilityYou have the right to receive the personal data concerning you in a structured, commonly used and machine-readable format, when: a) the processing is based on consent or a contract, and b) the processing is carried out by automated means.
  • Right to lodge a complaint with a supervisory authorityWe inform you of your right to file a complaint with a supervisory authority (AEPD – www.aepd.es) in the event that the exercise of the rights indicated herein has not been addressed.

To exercise the aforementioned rights, you can contact us by mail or email at the addresses indicated in section 1, identifying the following information in your request:

  • Applicant details (name and surname).
  • Contact address.
  • Right that one wishes to exercise.
  • Specific details on which the request is based.

Within a maximum of one month, we will respond to your request through the same means used initially.

5. What security measures does the Foundation apply in the processing of your data?

Taking into account the state of the art, the costs of implementation, and the nature, scope, context, and purposes of the processing, as well as the risks of varying likelihood and severity for the rights and freedoms of natural persons, the Foundation shall implement appropriate technical and organizational measures to ensure a level of security appropriate to the risk. These measures shall prevent the accidental or unlawful destruction, loss, or alteration of personal data processed, stored, or communicated, as well as the unauthorized disclosure of or access to such data.

6. Privacy Policy – Email Confidentiality

All messages sent from the online platform systems or from email accounts of the Alzheimer Barcelona HUB (for example, info@hubalzheimerbcn.org, fellowships@hubalzheimerbcn.orgThese messages may contain confidential or legally protected information and are intended solely for the named individual or entity. The content of these messages does not imply any commitment on the part of the sender. If you are not the intended recipient or authorized to receive it, you are not authorized to read, retain, modify, distribute, copy, or disclose its contents. If you have received an email in error, please inform the sender and delete the message and any attachments from your system.
